Where does each platform store your documents?

All six platforms store your documents in the cloud, which means they sit in a data centre in a particular country. The country is important as it affects which data protection laws apply, whether you can bid for public sector work, and whether you can meet contracts that specify where information is held. The table below records what each provider publishes.

Does choosing a region mean nothing leaves it?

No, and this is the most misunderstood part of data residency. Choosing a region controls where documents are stored. It does not put a wall around every piece of information connected to them.

DocuSign is the clearest about this. Its documentation explains that agreement data stays in your region, but when you send a document to someone in another country, limited personal data such as the signer’s name and email address must travel to that person’s location so they can be notified and can log in to sign. That information also forms part of the completion certificate.

PandaDoc notes that conversations with its support team are stored and transferred to the US whichever region you choose, because its support staff work across the world.

Adobe pairs each data centre with a backup in a different country and copies data to it continuously. The EU centre in Frankfurt is paired with Dublin, and the Amsterdam centre is also paired with Dublin. Both are inside the EU, but a contract naming a single country would not be satisfied by either.

The practical test for a procurement questionnaire is not ‘can I choose a region’ but ‘what exactly stays in that region, and what does not’.

Can you store data in the UK?

Only with Dropbox Sign, of the six compared here. It lists the UK as one of six storage regions alongside the US, EU, Canada, Australia and Japan. The others offer EU storage in Germany, the Netherlands or Ireland, but not the UK.

For most UK businesses, EU storage is legally workable rather than a problem. UK data protection law permits transfers to the EU. But some contracts, public sector frameworks and internal policies name the UK specifically, and in those cases the distinction decides the purchase.

Two things to watch with the Dropbox Sign route. The default region on every plan is the US, so UK storage is something you have to actively select. And only customers on the Premium plan can choose a region at all.

Does your region affect which features you can use?

With Zoho Sign it does, which is unusual and worth knowing. Its qualified electronic signature options, provided through InfoCert, Uanataca, Swisscom, itsme and EU national eID schemes, are available only in the EU data centre. Some other features, including its knowledge-based authentication, are available only in the US data centre.

So for Zoho Sign the region is not only a storage decision. It determines what the product can do. If you need qualified electronic signatures, the account has to be in the EU data centre. What happens if you pick the wrong region?

It depends on the platform, and none of the answers is painless.

Zoho Sign allows migration between data centres, but with conditions. Documents you received from other people are not carried over, and trusted timestamping stops working and has to be set up again with a provider available in the new region.

PandaDoc runs its US and EU services as separate installations. A US account is not visible to the EU service at all, so moving means starting again rather than switching a setting.

DocuSign assigns your region automatically from your billing address or location, and choosing a preferred region is described as something customers do when working with a DocuSign representative at account setup.

The lesson is the same across all of them. Decide the region before signing up, including before starting a free trial, because a trial account created from the wrong country can fix your storage location before you have bought anything.

What should a business check before buying?

• Ask what stays in the chosen region and what does not. Signer names, email addresses, audit trails and support conversations are often treated differently from documents.
• Ask where the backup sits. Several providers copy data continuously to a second country.
• Ask whether the region can be changed later, and what is lost if it is.
• Ask whether any features are unavailable in your chosen region.
• Check the region before starting a free trial, not after.
